Who can Access Process Queues?

Process Main Page
To get to Process Queues:
- Click on People in the left navigation menu.
- Click the Processes tab.
- From here, a Process Manager will see all the Processes they manage and a Queue Manager will see only the Queues the can manage. If you have Queues assigned directly to you has a Queue Manager you’ll be able to access those from here as well.
A Notification is also indicated when you have Process Queues that need attention.
Process Admins can perform all actions, in all Processes, throughout an assigned campus. Process Managers can perform all actions, in all assigned Processes. Process Managers will not receive email notices for Profiles added to the Queue, unless they are assigned as a Queue Manager as well.
Finding Process Queue Assignments
Queue Managers are responsible for managing the assignments they have received or accepted. There are three ways they could be notified of new assignments.
From Email Notifications
- First, if email notification is enabled in the Queue, they will receive an email notifying them that someone new has been added to their Queue.
- Second, whether notification is turned on or not, a Queue Manager will also receive an email either the day or a set number of days before someone they've been assigned is due.
- The checkboxes for Notify when assigned or added to the Queue unassigned have no influence on the Notice when Due. A Notice when Due is sent regardless of the settings. Now, with that said, if the Number of Days Due is set to zero and Notify when Due is set to zero, then it is due the exact date it is added to the Queue. This means a Notice for the Due Date can't be "queued up" or sent. Number of days equal zero will result in no notice, but assuming the Profile is due today. If you have any other option selected or you use a certain number of days this does trigger and Notice for Due Date. Also, if you edit the individual Profile due date this will also cause the Notice to send to Queue managers. For example, it was entered today, with a due date of today. If you edit the Due Date for tomorrow, after midnight (local time) a notice is sent to the Queue manager, you have a Queue due. There is not a way to turn of the notice if using any option except zero days due and not editing the due dates.
- Third, when they log in to the site, they will see the Attention Needed icon at the of their home pages. This box will appear regardless of whether or not email notification is on.
Note: For security if the Queue Manage is not logged in, they will be asked to do so when clicking from the email notices.
From the Processes & Queues I Manage List
Privilege Restriction: If you are not a Process Manager, no Processes will be visible on this page; only the Queues you manage will be visible.
- From the Processes & Queues I Manage list, click the Queue name or Process name to view more information.
- Click the name of a person to view more information.
- Clicking the name of a Queue will take you to the Queue Detail page, Clicking the Profile Name will date you the Individual Queue Detail.
- On the Queue Detail page you will see a list of individuals who are either assigned to you to manage or are not assigned to a specific Queue Manager.
- Above the list of people will be specific instructions and other information about the Queue.
- Under Actions, you will see the Queue Stats, which lists number of people in the Queue per status, and My Stats – This Queue, which shows the numbers of people you have marked done in the last week, month, and year.
- While most of your work will be done on this main page or within the individual detail page, there are a couple of things to be aware of on the Queue Managers page.
- If you are also the Process Manager, you will see links to remove managers.
- The Queue Managers list will let you see who has been assigned to manage the Queue.
Viewing Queue Assignments
Profiles in a Queue that have been assigned to a Queue Manager only appear in that Queue Manager's list. This is true also for the view of a Process Manager or Process administrator. This prevents Queue Managers from working on the same Profile.
- Under the actions menu is a list of status(es).
- Click on the status for the individual's you would like to see in the Queue.
Tip: You can also view your assignments by clicking on the link in your email notification.
Within the Queue you can Click the Magnifying Glass to Search for a Specific Profile if needed.
You can also click the Status from the Process Overview.
Accepting Queue Assignments
As people are added to the Queue, they will either be assigned to a specific Queue Manager or left unassigned. You will be able to accept the assignment for individuals left unassigned from the Queue Detail page. This can be done on an individual basis or for a group of individuals in the Queue.
- To accept a single assignment, click the Accept link to the right of the individual’s name. In addition to adding you as Queue Manager, it will also change the status from Not Started to In Process.
- To accept multiple people at one time, click the box next to the word View for each person you are accepting.
- Next, scroll down to the bottom of the screen and select Other Actions.
- Change the Queue Manager with the drop-down menu.
- Click Perform Action.
Once you have been assigned to or accepted assignments, you may begin working on the people in your Queue.
Working with People in a Queue
- From the Queue Detail page where you see the list of all those assigned to you or unassigned, begin by checking the boxes next to the names of the people you wish to manage.
- There are three mass action buttons to choose from: Remove, Other Actions, and Mark As Done.
Other Actions Options
Clicking the Other Actions button will open a window with a number of other options.
Edit
This tab allows you to change the due date, Queue status, or Queue Manager.
Note
This tab allows you to leave a note about the selected people.
This tab allows you to send a quick email to all the selected people.
Other Queues
This tab allows you to add these people to another Queue, either in the Process you are currently working in or any other Process in the system.
Note: Only Processes from the same campus will be available in this tab.
Mark As Done
The final mass action tool is to mark the selected people as having completed that step in the Process.
- After selecting the people who have completed the Queue, click the Mark as Done button.
- A window will appear allowing you to select from the predefined automation options set for the Queue.
- After making any necessary adjustments to the options, click Mark as Done to complete this action.
Mark as Done Options
- Date Completed: Today's date will be included by default in this field, but you may replace today's date with another if needed.
- Send Email: If a mail merge was connected to the Queue, you will see it listed here. The box may be checked or not depending on how the Queue was set up. If the box is unchecked, you can check it to send the mail merge as an email to the individual.
- Next Queues: Next Queues can be listed here to indicate where the person should go immediately following the current Queue. Check the boxes of the Queues you wish to add the person to and choose a Queue Manager from the pulldown menu.
- Automation: This section will include any additional automation connected to the Queue, like adding the person to a group or changing the membership type.
Automation Options
All automation options will fall into one of three categories: Automated, Optional Checked, and Optional Unchecked. Any that are set to Automated cannot be changed by the Queue Manager. Those that are checked or not checked by default may be adjusted by the Queue Manager (i.e., check an unchecked box or uncheck a checked box).
Note: Access in Process Queues are exclusive and approval is required.
