Sharing a Form Privately
Emailing the Link to the Form
If you only want to share a Form with a certain demographic or group of people, then you can publish the Form and only share the link to the Form with those people. Forms not on the Form List can only be found by going directly to the Form's response page's URL. Emailing the link to the Form is a great way to share that URL.
- First, click Forms from the left navigation menu.
- Click the name of the Form from the Forms I Manage or All Active lists.
- Open your Form and click the Share tab.
- The top link can be used to quickly email the link to the Form.
- The second link will appear with the name of the Form as a link, instead of the web address.
Sharing a Form Publicly
Public Form List
If you want your Form to be available to everyone, including people who are not logged in, then adding it to the list of Forms is a great way to go.
- The Forms list is visible both on the Public Login Page and on the Welcome Page's Forms tab.
- The Forms link on the login page will only be visible if there are publicly available Forms.
- There is no difference between this list from inside the software and the list available from the login page.
Adding the Form to the Form List
- Click on Forms in the left navigation menu.
- Click the name of the Form from the Forms I Manage or All Active lists.
- Click the Edit Form link to the left of the name.
- Click on the Form Settings tab.
- Select the checkbox for Show on list of Forms.
Viewing the Forms List
- To view the Forms list while logged out, click the Forms link on the login page.
- The Forms will be listed in alphabetical order.
- To view the Forms list while logged in, click the Forms tab on the Welcome page.
Filling out a Form Logged In
If a person accesses a Form while logged in, there are some added benefits.
- Their contact information will be filled in from their profile automatically.
- There will be a checkbox visible to allow them to choose to overwrite the contact information in their profile.
- There will be a link to change the respondent if they will be filling out the Form on behalf of someone else in their family.
Tip: You may want to use the Require Login from the Form Settings to make sure profiles are updated with new information, but remember that doing so means people without a login will need to create a login before filling out the Form on their own.
