Setting up Automation
Form automations allows your church to automatically connect a Form to the correct action. You can set up an automation to either simply filling out the Form or to a specific option within a question. Form automations require the contact fields to be used. Form automations don't work with anonymous Forms.
Note: Form level automations trigger anytime someone fills out a Form and the response is matched to a profile.
Form Level Automations
- Form level automation is setup in the Form Settings.
- If there are no questions yet on the Form, you are given a warning that automations cannot be added until at least 1 question is added to the Form.
Once you add a question you will be able to add an automation to the Form.
Once you click the link, you will be asked what automation to add. Feel free to add as many automations as needed.
- Group: When the response is matched, the person will be added directly to the Group(s) chosen here. If a Group has a participant limit and the group is full, people will be added as 'requesting'.
- Event: After matching the response, the person will be added to this Event's Guest List. If an Event reaches its attendee limit the Form will be disabled and a message indicating the Event is full will be shown instead.
Note: You can automate to as many events as needed, but an event can only be automated to once per Form.
- Process Queue: The person matched to the response will be added to the Process Queue chosen here. They will be left unassigned with a status of Not Started. If the person is already in the queue with a status other than 'Done', they will not be added again when matched.
- Position: This automation automatically matches a person to an event position when the form is filled out. However, it does not automatically add this person to a scheduled assignment. You will need to do that manually.
Question Level Automations
In addition to being able to add automation that is triggered on a Form submission, you can add automation based on the answer to a question. The following question types allow automation:
- Radio Buttons
- Pulldown Menus
- Checkboxes
- Product/Ticket
- To begin, click into the question in the Form preview and click 'add an automation...'.
- Next, select the answer (1), the automation type (2) and the automation target (3).
- Click Add another automation, if you need to add more than one and continue with the previous steps.
- Click Save once you have finished adding all of your automations.
- Make sure to click I'm Finished to save your changes.
