Privileges
- Master Administrator (Master Admin): Can create/edit/archive/delete any schedule in the system; can assign Category Organizers and Schedule Organizers.
- Schedules Admin: Can create/edit/archive any schedule in the system; can assign Category Organizers and Schedule Organizers.
- Category Organizers: Can create/edit/archive schedules and manage volunteers within their category.
- Schedule Organizers: Can edit schedules and manage volunteers within their schedule(s), and receives decline notifications.
Communication from The Grid
Privilege Restriction: Only the Master Admin or a Schedule Admin can send requests.
The Grid is a great place for you to easily communicate with your volunteers. From here you can send requests to volunteers, message volunteers, and set custom default reminders.
Send Requests to Volunteers
- Click the Actions menu.
- Click Send requests to volunteers.
- Select which audience you wish to notify.
- Customize your message, if you wish to.
- Click Send.
Note: This sends requests to all pending volunteer assignments for all weeks (service times and associated times) loaded on the grid.
Tip: If someone doesn’t have an email listed, you can add an email address right then and there.
Your message will be sent as both an email and a text (as long as they have email address, and/or mobile phone & carrier). Keep in mind that because Beta Schedules are no longer associated with groups, the notification does not follow any communication preferences.
Note: If you had the Default Assignment Status set to "Accept", you will no longer be able to send requests to volunteers, but they will still receive the reminders you have set.
Message Volunteers
From The Grid you can choose which volunteers to message based off of their status, their teams, or positions.
- Click the Actions menu.
- Click Message Volunteers.
- Click Selected Volunteers.
- Sort the volunteers you’d like to message according to the preferences you choose.
- Customize your message and attach any file(s) if you need to.
- Click Send.
Set Default Custom Reminders
From The Grid you can also edit and customize the reminders that get sent to your volunteers for a specific week.
- Click the Gear icon next to the week you would like to edit.
- Click Edit Settings.
- Click Set Custom Default Reminders.
- Customize your message and when you would like it to be delivered.
- Once you’ve completed, click Save.
Note: You have the ability to add and remove reminders as you need them.
Communication from Teams and Positions
From the Teams & Positions tab you are able to message your volunteers.
Message Your Volunteers
- In the Teams & Positions tab click Message Volunteers.
- Click Selected Volunteers.
- Filter which Teams or Positions you would like to message.
- Customize your message.
- Attach any file(s) you may need.
- Click Send.
Communication from Serving Rotations
From the Serving Rotations tab you are also able to message your volunteers. There are two ways you can message volunteers in the Serving Rotations tab: Messaging the entire Grid, or messaging individual Serving Rotation.
Message Your Volunteers The Whole Grid
- In the Serving Rotations tab click Serving Rotation Actions.
- Click Message Volunteers.
- Click Selected Volunteers.
- Filter by which Serving Rotations and Teams and Positions you would like to message.
- Customize your message.
- Attach any file(s) you may need.
- Click Send.
Messaging an Individual Serving Rotation
- Click the Ellipsis next to the serving rotation you would like to message.
- Click Message Volunteers.
- Filter by which Teams and Positions you would like to message.
- Customize your message.
- Attach any file(s) you may need.
- Click Send.
