How to Use Process Notes in MyAwaken

Create a Note within a Process Queue in MyAwaken
Note - Ministry Director can issue request access of the Process Queue for your group leader.  
Awaken Staff: Please talk to your Director first if you need this access. Requst has to be issued by your Director.  

  1. Click People from the left navigation menu.
  2. Click the Processes tab.
  3. Choose the Process or Queue that you manage.
  4. If you are not in a Queue click on your desired Queue.
  5. Once in a Queue click on the individual you want to leave a Note for.
  6. You will then be able to leave a Note for the individual under the Notes tab.

Privilege Restriction: 'Process Queue Managers' will change to 'This Process Only' when a Process is marked as a Hidden Process.

Who can Create a Note in a Process Queue?

Master Administrator
Full Read Only No
Full Read/Limited Write No
Process Admin Yes, for assigned campus Processes
Process Manager Yes, for assigned Processes
Queue Manager Yes, for assigned Queues
Director (Complete) No
Coach (Complete) No

Note Options

  • Appropriate leaders: This Note will allow people admins with Full Read privilege, Process or Queue Managers, Directors and Coaches to view the Note.
  • Process Queue Managers: Wherever the Note is created, only people who are Process Admins, Process or Queue Managers can view the Note.
  • This Process Only (For Hidden Processes Only): You will see 'Process Queue Managers' change to 'This Process Only' when a Process is marked Hidden Process. Process Admins can see All Notes in All Processes, not just hidden Processes.
  • Only me (Complete Only): No matter where you leave the Note, only you can read that Note. Not even the Master Administrator has access to view this Note.

Process Queue managers Note can be seen by people who are Process Admins, Process or Queue Managers
Only Me (Complete Only) Note can be seen by only the person who created it

Viewing Notes

Privilege Restriction: You must be a Process admin, manager or Queue manager to open a Process Queue and view an individual, however once you open that individual up, the Notes you can or cannot see are dependent on your privileges listed below.

Queue Manager Notes tagged as Process Queue Managers or Appropriate Leaders for people in their Process Queues
Director (Complete) Only Notes tagged as Appropriate Leaders for their group leaders
Coach (Complete) Only Notes tagged as Appropriate Leaders for their group leaders
Only Me (Complete) Only by the person who created the Note

How to Delete a Queue Note

  1. After accessing a Profile from the Queue, click the Notes tab
  2. Find the Note you wish to delete and click Delete
